Team Coordinator* Senior Leadership

The Team Coordinator* Senior Leadership demonstrates ability to work in a fast-paced, results-oriented environment.
The Role will play a central role to manage and coordinate the overall Strategy and Operations team, supporting them in the execution of transformational activities. It will therefore, for example,  plan and coordinate meetings and workshops, prepare and deliver respective logistics and team management tasks across time zones and will be called upon to maintain a realistic balance among multiple priorities.
Team Coordination support:
  • Plan, coordinate, and maintain the day-to-day schedules of the Vice President and the team; prioritizing meetings and stakeholders, and plan / re-plan evolving business meeting needs
  • Work closely and effectively with VP to keep her well informed of upcoming commitments and responsibilities, following up appropriately. Pro-actively anticipate evolving time needs and work with VP to address accordingly.
  • Manage calendars of VP, including responding to all meeting invitations, independently resolving conflicts, clearing calendar for travel/ vacation time, notating all travel details
  • Plan and schedule travels and trips end-to-end to allow VP and the team seamless travel experience (including for example border regulations/ EST, or corona testing certificates, etc.)
  • Report Concur/ Expense in compliance with legislative and company travel & entertainment policy
  • Manage procurement activities for the broader department ( incl shopping carts, SOW, PO, invoices, and accruals). Work under guidance of VP to liaise with providers and check invoices and statements for accuracy
  • Keep track of the department budget and overall invoicing
  • Partner with the broader department to provide administrative and operational guidance to team members (both new hires and existing staff). Conduct relevant onboarding processes like ordering hardware and facilitating introductory meetings.
  • Manage and act on confidential and sensitive communications (emails, leadership meeting materials, etc.) in appropriate way and per VP guidance.
  • Provide assistance in maintaining compliance with regulatory and company policies and guidelines, including Standard Operating Procedures
Meeting and Event Planning
  • Preparation and coordination of larger team meetings and workshops, both with internal and external stakeholders. Taking care of all relevant aspects for preparation, conduct and follow up, incl. the compilation and circulation of respective documentation. Demonstrating a very proactive and forward looking approach to resolve any bottlenecks, timing issues or other evolving needs.
  • Virtual and in-person meeting hosting and facilitation of broader department meetings / or selected venues: planning & coordination of meetings for team leads, including time, location, and cost; handle all logistics (travel and room scheduling/booking, transportation, food service, audio-visual requirements, incorporation of events, team building activities, etc.)
  • Provide event support, both virtual and in-person, and ensure feedback is received and incorporated to improve future events
  • Solicit bids from venues and service providers, review billing details, ensure prompt payment
  • Planning and organizing of business travels for department members (plane, train, hotel, etc.), by demonstrating both cost conscious and flexible approaches to ensure highly effective travel schedules. Provide guidance on travel expense process and enable team members to use system appropriately.
Project Management
  • Assist in the planning and implementation of projects
  • Support in selected workstreams around project management and coordination support
  • Liaise with multiple stakeholders around timelines, objectives and deliverables
  • Manage project trackers and proactively  follow up with colleagues on milestones
  • Pro-actively plan and follow up on respective project meetings, preparing meeting minutes and shaping respective action packages

What you have to offer.

  • Several years (>5 years) of working experience in the area of business assistance/ department coordination
  • Excellent knowledge of MS Office, and overall demonstration of technological/computing skills and software application proficiency. Demonstrated experience with sharepoint management and commonly accepted workflow management like for travel and expense management.
  • Proficiency with developing spreadsheets and slides, and project tracking
  • Exemplary planning and time management skills
  • High level of attention to detail, and accuracy in execution
  • Proven ability to organize, multi-task and prioritize daily workload
